The Executive Support Officer will provide direct support to the Chief Financial Officer (one-on-one working relationship) in the delivery of strategic objectives across the business. The primary focus will be on ensuring that the day-to-day operations run both smoothly and efficiently.

Duties performed require considerable discretion, initiative, tact, as well as mature and independent judgment. This role requires leadership qualities, such as adaptability, dependability, and accountability.

Responsible for exercising independent judgment and considerable initiative to provide a wide range of administrative and managerial support to the CFO to coincide with business needs, expectations, and strategy.

Responsibilities include a comprehensive range of EA duties from management of calendars, scheduling of appointment and attendance at meetings (internally and externally), process, track and maintain documents, write draft reports, prepare materials for meetings and special projects, co-ordinate travel, gather information for relevant committees; welcome guests and visitors to the office to see the CFO, and other high-level tasks as required.

Coordinating with colleagues and internal stakeholders at all levels, to ensure effective collaboration across the business, and monitors events, issues, and activities both within the business and externally, to enable proactive recommendations for response and engagement by the CFO and/or the business.

Be the key point of contact for the CFO and their office, dealing with internal/external enquiries, and communicating, recognising, prioritising, and tracking actions appropriately. Take authorised actions during the CFO’s absences and use initiative and judgment to see that matters requiring attention are referred to the appropriate delegated authority or handled in a manner to minimise the impact of the CFO’s absence. Monitor the CFO’s emails, taking actions appropriately and prioritising urgent actions.

Understand the responsibilities, needs and priorities of the CFO, to create the time and space needed to focus on the most strategic demands of the business.

Anticipate the CFO’s needs – constantly forward planning and prepping logistics, information, material, and people, in advance of schedule.

Work closely and effectively with the CFO to keep informed of upcoming commitments and responsibilities and to ensure appropriate follow up. Act as a “barometer”, having a sense for the key issues and matters occurring in the environment.

Prepare briefing materials for the CFO in preparation for meetings and travel (including assisting with the drafting of presentation materials).

· Manage the CFO’s calendar, ensuring that the schedule is handled in an efficient and professional manner and delegate emails and tasks to the team where appropriate ensuring they are tracked to completion.

· Have regular reviews to revisit current priorities to ensure the meeting and commitment schedule is optimised and prioritised.

Provide high quality, professional, efficient, and comprehensive minute taking and pack preparation assistance for the Executive Committee Meetings, including undertaking or assisting with meetings administration.

· Enhance the CFO's and business's reputation by representation, and by accepting ownership in accomplishing new and different requests; exploring opportunities to proactively add value to their job accomplishments.

Maintain a good working understanding and relationships with key internal and external partnerships, contacts, and stakeholders, as pertains to the office of the CFO. This includes liaising when required with potential and current customers.

Provide a bridge for smooth communication between the CFO and all internal business areas; demonstrating leadership to maintain credibility, trust, and support with and of, the Senior Leadership Team.

· Use judgement when scheduling meetings; determining the purpose of the meeting and the time that will be required, and ensure all relevant meeting documents (including agendas, pre-reading, prep, action updates and input from the team) are available prior to the meeting.

Co-ordinate meetings on behalf of the CFO, drafting reports, creating, and circulating agendas, managing responses, and attending to take minutes when required, and provide post meeting correspondence and action points to all relevant parties.

Prioritise needs, handle matters expeditiously, proactively, and follow through to successful completion.

Work collaboratively with the other EA’s and in particular to provide absence cover.

Use judgement and diplomacy to determine the level of priority in which callers and messages must be responded to directly, acting as the gatekeeper where required.

Adapt to changing plans and re-prioritise work according to circumstances.

Understand the sensitive nature of the role and maintain strict confidentiality at all times.

Strong work tenure – 5+ years of experience supporting C-Suite Executives, preferably in financial services.

Courteous persistence and excellent communication skills. Reliable, adaptable, independent and exercise good judgement in the face of fast-paced, diverse tasks and requirements.

Ability to professionally manage a multitude of responsibilities. High level of confidentiality around tasks, whilst having the ability to anticipate needs and demonstrate flexibility in approach and hours.

Demonstration of sound judgement, the ability to think critically, a high level of energy and enthusiasm, initiative, creative thinking, and self-motivation.

Ability to prioritise highly important activities, proactively and effectively addressing critical issues and escalate to the relevant member of the executive team.
